Paralyzed Veterans of America (PVA) is looking for a Production Manager for its National Office in Washington D.C. This individual will manage the direct mail production of all PVA direct mail programs.
Development of specifications for purchasing materials and services for PVA’s fund raising programs.
Secure competitive bids for the assigned direct mail program. Evaluate cost estimates and analyze results compare to budget. Maintain vendor bid files.
Create written instructions (purchase orders, mail shop instructions, lasering instructions, etc.) for materials and services.
Track and ensure quality and timely delivery of components and services necessary for production.
Seek cost efficient opportunities for new testing options, to include production efficiencies.
Verifies invoice amounts, account numbers, and prepare cost reports (includes monitoring of postage) and General Ledger Entries.
Maintain and administer the decoy accounts (Hauser and US Monitor).
Prepare monthly reports by mailing on the status of deliverability of PVAs direct mail campaigns.
Identify any mail delivery issues and point out to direct marketing team.
Responsible for all postage requests for PVAs monthly campaigns (both premium and non premium).
Maintain and reconcile the CAPS postage account monthly with PEP and PVAs accounting department.
PO Box management.
Maintain and administer the decoy accounts (Hauser and US Monitor). Prepare monthly reports, by mailing, on the status of deliverability of PVA’s direct mail campaigns. Identify any mail delivery issues and point out to direct marketing team.
Develop systems and procedures for the fulfillment of any back end premiums (i.e. pens, bounce back cards, etc.) Point of contact for fulfillment of web donations and products.
Responsible for the inventory control system. Maintain reports regarding inventory of materials and products as reported by PEP. Make recommendations of use of leftover stock prior to kickoff of each mailing.
Serve as main point of contact for fulfillment of collectibles and other affinity marketing products.
Create production schedules for each mailing.
Performs other duties as assigned.
Knowledge and Skills Required:
Undergraduate degree or equivalent years’ experience.
5 or more years’ professional experience including at least one year of experience as a Production Coordinator or Assistant in the Direct Mail environment.
Knowledge of premium and non-premium products a plus.
Excellent oral and written skills.
Must be highly organized and motivated. Able to handle multiple tasks/projects simultaneously.
Proficient with MS Excel, MS Word, and other computer programs.
