The Marketing and Communication Division is searching for a Senior Administrative Coordinator to provide advanced administrative support across the division, with focus on building and office management. In this role, you will have financial responsibilities such as: preparing budget, purchasing & expense reports and making routine purchases. You will assist with coordinating workflow in the department including coordinating meetings and departmental gatherings, backing up and cross-training with others in the Business Operations group in their key functions of budgeting and finance, HR and office/building management
Core responsibilities will include:
Building Management: Assist the Business Manager with managing building facilities for 4721 Fifth Avenue. Includes scheduling maintenance and safety programs, resolving staff facility requests and maintaining vendor contacts.
Financial : Procurement and routine purchasing for the division, assembling data and budget reports, preparing procurement and expense reports, Supports the Business Manager with annual budget planning and fiscal year-end closing activities.
Technical Responsibilities : Manage and update division inventory of assets, computer equipment and software licenses, manage and maintain shared resources (projector, loaner laptops, etc.), liaise with Desktop Support to coordinate to have technical issues resolved, new computer equipment ordered and installed and manage requests from the division.
General Administrative : Serve as part of a three-person cross-trained team; serve as backup for other administrative staff while out of the office or as needed, coordinate large group meetings (coordinate calendars, reserve rooms, order catering, etc.), special projects and assisting other employees as needed. Process improvement and document/instructional/reference materials development and maintenance.
Human Resources : Work with hiring manager(s) and candidate(s) to schedule interviews and assist in recruitment activities; directing new employee onboarding in tandem with the hiring manager.

Minimum Education: Associate's Degree or equivalent required, Bachelor's Degree preferred.
Minimum Experience: 3-5 years of administrative support or related experience required; experience in higher-education preferred.
Demonstrated proficiency in Microsoft Excel and Outlook, as well as an understanding of IT support best practice operations and terminology highly desired.
